Consultations @ OU Libraries Policies

The Consultations @ OU Libraries is a space dedicated to supporting student success and learning. It provides consultation and meeting spaces for campus units, programs, instructors, and teaching assistants that would like to:

  • regularly or occasionally consult with students one-on-one or in small groups;
  • conduct satellite office hours;
  • offer enrichment or outreach activities.


In addition to general use policies, we have also provided more specific information about each of our spaces.

General Policies

People: Consultations @ OU Libraries is available to faculty, graduate students, staff, and library campus partners. Undergraduates must have an appointment with instructor, University Libraries personnel, or University Libraries partner.
Hours: Consultations @ OU Libraries is open from 8:00 AM to 5:00 PM, Monday through Friday during the semester. If you need to use the space outside of these hours, you must make arrangements in advance by filling out the Event form
Room Reservations: These rooms must be reserved to be used. A maximum 4 hours can be reserved at a time, up to three months in advance. Only graduate students, library personnel, faculty, staff are allowed to reserve these rooms. 
Food & Drink: Food and drink are permitted.
Technological Assistance: If you will need assistance using the technology available in the space, please use the Event form . This will ensure will we have staff available to assist you. All monitors have connections for VGA and HDMI and adapters are available.  

 

Conference Room, 121E

The Conference Room is a great space to hold in-person and virtual meetings. To make the reservation process easier, please read through policies below. 

Reservation Procedure: Use OU Libraries' Event form to schedule your meeting.
Capacity: Accommodates 15 people comfortably. 
Furniture: The conference room has a large table with seating for 11. There are 6 additional chairs along the side of the room. A few more chairs can be added as needed. 
Videoconferencing: If you plan on using our videoconferencing system, please specify in your meeting request. We will send you a set of instructions to send to your virtual meeting attendees. We can also test the set up with you and/or your virtual participant(s) in advance. 

 

Accepted Uses

  • Meetings for research or teaching
  • Meetings utilizing the Zoom videoconferencing system
  • Live-streamed seminars and meetings
  • One-time class meeting related to library research

 

Restricted Uses

  • Recurring classes
  • Meetings with two people or less

 

Studio Meeting Spaces

The Studio Meeting Spaces are perfect for small, collaborative meetings. We have three of these spaces available in Consultations @ OU Libraries. 

Reservation Procedure: Use OU Libraries' online reservation system.  Because of high demand, we ask that meetings last no longer than 4 hours without prior approval. Any requests for recurring meetings should also be made through the Event form .
Capacity: Accommodates 5 people comfortably. 
Furniture: Each studio has a table and 4-5 chairs. Additional chairs can be added. Studio B has a slightly larger table. 

 

Accepted Uses

  • Meeting for research or teaching
  • Collaborative group meetings or seminars of two or more
  • Consultations with specialists

 

Restricted Uses

  • Graduate Study Groups
  • Recurring Classes

 

Recording Studio

The Recording Studio is ideal for recording lectures, presentations, or making other quick videos. If you have more complex recording needs, you may want to investigate the services offered by the Center for Teaching Excellence

Reservation Procedure: The Recording Studio gives faculty, staff, and graduate students a quite space to record content such as lecture slides, images, videos, or live demonstrations. Since OU IT no longer supports the software in the Recording Studio, we recommend bringing your own device and equipment to record your projects. If you do not have recording equipment of your own, please visit the libraries' Technology Lending page to see what equipment we have available for check out at the Circulation Desk.
Capacity: Accommodates 3 people comfortably. 
Furniture: The recording studio has an office chair and podium by default. We can add, remove, substitute chairs as appropriate.
Video Editing: Consultations @ OU Libraries does not offer video editing services. We may be able to assist with basic edits such as removing background noise or clipping the beginning or end of a video. Lynda.com has video tutorials on a variety of editing tools. 
Miscellaneous: Please bring a flash drive to save your recording.
